Meeting to conduct bi-annual election of officers

Of the Bayern Stein Club of Plano

October 10, 2007

 

 

§ 1)

The meeting was called to order on October 10, 2007, at 7:30pm by President Phillip Walden for the purpose of electing officers, as provided by the bylaws of the Bayern Stein Club (known as Club). I attendance for the purpose of electing officers was a quorum as defined in the bylaws.

 

§ 2)

It was duly noted that,

a)      Simultaneously with the election of officers, the existing Executive officers would be abolished and the executive structure of the Club would be reconstituted with the following seven offices filled by seven officers, follows: President, Vice President, Events Director, Minister of Bier, Secretary and Secretary, Past President(s).

b)      As the need may exist for members to perform functions and duties not covered by the reconstitution executive offices, including functions and duties of eliminated offices, temporary chairpersons and/or directors will be appointed or elected as necessary; and

c)      Only executive officers and appointed/elected chairpersons/directors shall represent ands act for the Bayern Stein Club of Plano.

 

The above motion, including its elements (a)-(c), was unanimously passed.

 

§ 3)

First nominated to fill the above offices were the following members:

§ 4)

Following a motion duly made and seconded to elect the slate of officers, President, Phillip Walden called for a vote of quorum.

 

The foregoing nominees were unanimously elected to the aforesaid. Accordingly, the new executive officers were filled by the newly elected executive officers, as set forth above, and the former structure of the executive officers was abolished, effective October 11, 2007. The officers will hold office through October 11, 2009.

 

 

§ 5)

Following a motion duly made and seconded and unanimously approved the meeting was adjourned at 8:30pm.

Bavarian Grill Stein Club Meeting

Oct. 10, 2007

The Stein Club had its October meeting on Wednesday the 10th. 38 members were present including Tod Bolyard the Spaten West representative. The tip jar was passed around collecting donations to benefit the wait staff. Each member received a stein of Spaten Helles and a stein of Spaten Oktoberfest courtesy of Juergen. Very tasty hitzplotz were provided by Juergen and appreciated by all present. The main item of business for this meeting was to elect a new slate of officers for the club for the next two years. A motion was made to elect all officers by aclamation and was seconded without debate. Therefore these are the new officers of the club. Juergen then talked about the upcoming Rotary Club Oktoberfest on Oct. 15. This event will include a raffle and silent auction in addition to the usual array of fine food. Local charities are the primary beneficiaries of the money raised by this event. Mention was made of special smoked fish to be available.

Tod, the Spaten representative, gave a rundown on the latest brews being produced by Spaten-Franciskaner: Spaten Helles(premium), Spaten Oktoberfest, Spaten Pilsner(not available here), Spaten Optimator, and Franciskaner Dunkel Ales. Then he posed questions rewarding correct answers by giving away a number of items, e.g. plastic pitchers with Spaten logos, T-shirts, and glass steins.

Eddie Rose made an appeal for help in the traditional food drive and toy drive supported by the Stein Club.

Juergen announced that next months Stein Club dinner will feature Eis Bein, and he was honored by those present for making all this possible by sponsoring the Stein Club.

 

Bavarian Grill Stein Club Meeting

April 11, 2007

The Stein Club had its bimonthly meeting on Wednesday, April 11. Approximately 35 members were present. The topic of this meeting was the Schneider Weisse brewery in Kelheim on the Danube River. The brewery moved here when its Munich location was destroyed in 1944. Juergen presented an informative slide show of photos he had taken on his visit to the brewery. Georg Schneider, the brewery founder, is credited with saving wheat beer from oblivion, and the brewery is recreating the original style that it had brewed prior to 1944. During the presentation, we sampled three Schneider biers; the Wiesen Edel Weisse, the Weisse dunkel, and the Weisse Aventinus doppelbock - this last being the oldest wheat bier in Bavaria and having 8.2% alcohol content. The Wiesen Edel Weisse recipe was lost for many years but has been recreated by the brewery. Along with the bier we sampled soft pretezels with dipping sauce.

Juergen announced that next months dinner will feature mai bock beer, sweinsbraten and kartoffelknoedeln and urged everyone to attend (note the announcement in the BG e-mail.) A stein was passed around to collect tips for the wait staff.

Prior to Juergens presentation, Phillip Walden, president, conducted a brief business meeting. He enquired as to whether anyone was interested in attending Roughrider baseball games this year. Contact Phillip for further details.

The meeting was called to order on Aug. 26 at 2:40 p.m. by President Phillip Walden for the purpose of reviewing the agenda.

At this time, the future events were reviewed and noted. Events for upcoming months are repeated below:
Next Stein Club dinner: 13 September at 7 PM
Stein Club Oktoberfest: 16 September at 3 PM
Next Stein Club meeting: 11 October at 7 PM
Plano Sunrise Rotary Oktoberfest: 16 October
Stein Club dinner and Thanksgiving food drive kickoff: 8 November at 7 PM
Habitat for Humanity event: 18 November. Stein Club volunteers will be needed to serve food to the volunteer builders. The Habitat representative needs to be contacted to firm up details.
In addition, the following items were discussed:
Phillip Walden and Juergen discussed how better to track future Stein Club events. These are being tracked using Excel to format the data for the most convenient way to handle the formatting and tracking. They discussed how to make this easier and error-free.

Bavarian Grill Stein Club Meeting 8-9-2006

The Stein Club had its bimonthly meeting on Wednesday, August 9, 2006. Thirty-three members and two guests were present. Eight members were first-time attendees. Juergen provided each of us with a stein of Ayinger Brau Weissbier along with several types of snacks: meatball patty on mushroom, three wursts with potatoes and kraut, and two types of hitzplotz which were much appreciated by all present. A stein was passed around to collect tips for the wait staff. The topic of this meeting was the Ayinger brewery in Aying, just south of Munich in Bavaria. Juergen presented an informative slide show of photos he had taken on his recent visit to the town and the brewery.
The brewery tour covered the whole process from beginning of the brewing process to end at the giant lagering tanks.
Phillip Walden, president, then conducted the business meeting. He announced that he had recently delivered the "Christmas in July" collection to Gods Food Pantry. It amounted to around $300 worth of goods. He said that many people rely on this charity for food, so our contribution is very worth while. He also reminded us about next months special Stein Club dinner. Reminders will be sent out before hand with full details.

 

Official Minutes of Bayern Stein Club Bi-Monthly Meeting 14 June 2006

1. The meeting was called to order on June 14 2006 at 7:00 PM by President Phillip Walden for the purpose of conducting the bi-monthly Bayern Stein Club meeting. 31 Members were present.

2. New Business:

(1). The next Stein Club Dinner will be July 12 2006. The dinner with feature Spiessbraten, a flavorful pork roast specialty. Because it is Sommer, a light Franziskaner Weiss Bier will be served with the dinner. The cost is $29.75 ($24.75 for Stein Club members), which includes two half-liter Biers. Please RSVP by July 10, 2006. Contact Bavarian Grill at 972-881-0705 for reservations

(2). We are sponsoring a Christmas in July food drive, which is now underway and will run until July 25. As in the past, the support goes to Gods Food Pantry of Plano. This non-denominational food bank serves the community by extending a helping hand and providing food for those facing dire circumstances beyond their control.

(3). Soccer watch parties at the Grill have been well attended. US will face Italy starting at 1:30 p.m. CDT, Saturday, June 17 and Germany will play Ecuador on Tu Jun 20 at 9 a.m.

 (4). The Warsteiner Ambassador presented an informative slide show about the brewery and some of their biers, Premium Verum, Premium Dunkel, Premium Fresh (non-alc), and Premium Oktoberfest. Members in attendance were treated to a stein of the Premium Verum. The Ambassador then passed out key chains and 1 liter glass steins. These latter could be filled with Premium Dunkel for the price of a half liter which many members took advantage of. He also mentioned Konig Ludwig Weiss which has been available in the past and may be available again here.

Juergen once again provided tasty snacks to accompany the Warsteiner bier.

3. Following a motion duly made and seconded and unanimously approved, the meeting was adjourned at 8 P.M.

The following items were discussed:

1a. Outreach to Godâs Pantry. Discussion was about whether to collect toys or food. It was decided to collect food. Food items will be collected for a "Christmas in July" event. Notice will be placed in the newsletter. Items to be placed in a collection box at the Bavarian Grill before July 25. Phillip Walden will make up an advertisement for this event to be placed in the Grill.

2c. Table tents. Elke had some proposed table tents to review for the next Stein Club meeting and for the soccer watch parties. These are to be updated before placement on the tables.

2d. Soccer watch parties to be held at the Grill. Times will be shown on the table tents.

 

    Action: See Action 2 above.

3e. May Stein club dinner. The May dinner was considered successful. It was noted that Juergen had to push hard to make sure that the Mai bock bier arrived in time.

4. TV games promotion.

    4f. Soccer watch parties. These are detailed in the agenda for the first round of play. The Grill will be open for each of these on any day that     it is otherwise closed.

5. June Stein Club meeting. The June Stein Club meeting will feature Warsteiner beer.

The July dinner will feature Spiesbraten and Franciskaner wheat bier.

The August Stein Club meeting will tentatively feature Ayinger bier depending upon Juergens travels and the time available to prepare for the meeting.

6. Wein fest. This was briefly discussed as to who might be contacted in the industry to assist with the evening.

    Action 3: Juergen will decide how to handle this event.

The next meeting of the SC Executive Committee will be on June 17. The meeting adjourned at 3:15.

The meeting was called to order on April 22 at 2:40 p.m. by President Phillip Walden for the purpose of reviewing action items.

President Walden provided a meeting agenda. The following items were discussed:

1. Rotary Club Event. This will be held on Oct. 16, nominally between 5:30 and 8:30 PM. The president will send out a promotional reminder to Stein club members one

month before, two weeks before and the Friday before the event.

 

Action 1: President to send out e-mails for Rotary Club event.

 

2. Table tents. These were thought to have been effective in bringing out members for the April Stein club meeting and will be updated for the May Stein club dinner.

 

Action 2: Elke to update Table tents for the May Stein club dinner.

 

3. Soccer watch parties. Several dates were identified for world cup soccer matches:

 

June 9 - First match - Germany vs. Costa Rica

June 12 - USA vs. Czech Republic

June 14 - Germany vs. Poland

June 17 - USA vs. Italy

June 20 - Germany vs. Ecuador

June 22 - USA vs. Ghana

 

Action 3: Send out e-mails for each event weekend prior to event. (This was from the March meeting.)

 4. May Stein club dinner. The May dinner will be on May 10 and will feature Mai bock bier, a brew new to the BG.

 5. Wein fest. This was the most discussed item. The first is planned for Sept. - Oct. time frame. Suggestions about what to do included a dinner with appropriate accompanying wein. However the consensus was to have several different types of wein, whites, reds, champagne, centered at different stations with accompanying hors d'ouvres. It was suggested that the Baverian Grill wein supplier might supply people to man the stations and explain the weins at each station to those doing the sampling. A Saturday afternoon was targeted as a suitable time to hold this event. Along with this discussion, Juergen announced that the BG is working on a new wein list next weekend.

 Action 4: Juergen will firm up just what he would like to do for this event.

The meeting was called to order on March 18 at 2:40 p.m. by President Phillip Walden for the purpose of reviewing action items.
 
Members in attendance: Juergen Mahneke, Phillip Walden, Elke Nutterfield, Gary Coats, Eddie Rose, Bo Fedolak, Floyd Wood, Andrea
 
President Walden had a meeting agenda; but before the agenda was addressed, Eddie Rose brought up pertinent points relative to the poor turnout of members at last months Stein Club dinner (actually item 4 on the agenda). He attributed the problem to lack of communication. The dinner event notice was not made clearly and timely available to members. This dinner is traditionally held on the second Wednesday of odd-numbered months, but there was confusion between the Bavarian Grill newsletter and the Stein Club newsletter. A simpler way is needed to avoid confusion. Also, because Stein Club dinners are moved occasionally to accomodate BG patrons, members must be clearly notified of changed dates.
 
Action 1: Henceforth, the president will provide a simple reminder to be sent out to SC members on the weekend preceding the event. Ask at beginning of month which beers will be available for SC meeting; this depends on beer rep and what is available.
 
Action 2: Table tents will also be made available to announce the upcoming event. Andrea also suggested a sign to place at the bar to notify patrons of the upcoming SC events.
 
Next, Phillips agenda was discussed.
1. On-going items.
 
Item a: Rotary Club event. Bo led a debate about Stein Club participation in this event. It was suggested that members be encouraged to participate by purchasing raffle tickets, attending the dinner, and otherwise support this event as individuals, but that the Stein Club as such should not be involved. This met with general approval by the other members of the board. This item will be removed from the agenda.
 
Item b: Table Tents: Elke had printouts of several proposed table tents available to see for various upcoming activities. Andrea suggested that they should not use the blue and white motif which would tend to blend in with the table cloths. The colors should provide some contrast to attract more attention.
 
Action 2: Table tents need to be available to advertise the next Stein Club meeting in
April. Schneider bier will be featured. Warsteiner will be featured in June. Kostritzer is on the way for a future SC meeting.
 
Item c: e-mail address corrections/maintenance. This is presumed to be an ongoing activity but the status of this activity is unknown.
 
2. Update on Mavericks (Dirk) opportunity
Floyd was of the opinion that this is unlikely to happen. The consensus was that it is highly unlikely that Dirk can be enticed to attend a Stein Club event without paying a large appearance fee. Consequently, this item is being dropped.
 
3. Fasching.
Eddie reported that the Stein Club should have more member participation before attempting to hold this event. It's not likely that it could be held this year. It was tabled until August when it could be reviewed again. Suggestions were to hold this event in conjunction with Fat Tuesday next year.
 
4. Attendance at Stein Club dinners (see above)
 
5. Discussion on Weinfest
Members were enthusiastic about this type event, maybe to be held as a Stein Club dinner. The details of this event and the date need more study. May seemed to offer a possible time. This requires coordination with Juergen as to date and content.
Action 3: Phillip to coordinate with Juergen on details.
 
6. TV games promotion
Item 1: Soccer watch party. Reminders need to be sent out for each event. Likely to be a popular event.
 
Action 4: Send out e-mails for each event weekend prior to event.
 
Item 2: NCAA basketball watch party. Drop for lack of interest.
 
Item 3: No other watch parties likely to be of interest.
 
7. Taste of Plano
Bavarian Grill will participate in Taste of Plano on Monday March 27. All members should be notified and encouraged to attend.
 
Action 5: Send out e-mails to members to remind of event.
 
8. Army Care Package
Bo recommended to Juergen who approved the establishment of a drop box for collection of needed items to send to troops in Iraq/Afganistan. Bo sent out lists of items needed. This will become a SC supported activity.

Stein Club Officers Meeting
 
Feb. 18, 2006
A meeting of the Stein Club officers was held on February 18, 2006 at the Bavarian Grill. Present were Juergen Mahneke, Phillip Walden, Gary Coats, Elke Nutterfield, Eddie Rose, and Floyd Wood. Bo Fedolak and Andrea arrived near the end of the meeting. The meeting lasted from 2:40 to 4:15. Juergen provided for a choice of refreshment for each person present. Items on the agenda for this meeting were a list of events for the year put together by Juergen, and a list of German holidays/festivities put together by Floyd.
Juergen provided a comprehensive list of all Stein Club events from the present to Jan. 10, 2007. The times for some of the soccer matches, in particular March 22, were not yet available; they will be filled-in when available. (A correction to last months minutes should show the Sunrise Rotary Oktoberfest on Monday 16 October whereas it was reported last month to be on 30 October.) The soccer matches lend themselves to organized watch parties at the Grill. Watch party would also fit in with the NCAA finals. In conjunction with this it was suggested that Dirk Nowitzki be approached to attend a special dinner at the Grill sponsored by the Stein Club with money donated on his behalf to a local charity as an inducement to attend. Juergen asked Floyd to put together thoughts on how to go about getting Dirk to attend. The Stein Club dinners on Juergens list were identified as events to be advertised by table tents. Elke showed some ideas she had worked out for the ads. The dates are March 8, May 10, June 17, July12, Sept 13 & 16, Nov 8 and Jan 10 '07.
An idea proposed to bring in someone to talk about soccer at a watch party was not well received. Another proposal to place photographs of members on the wall near the entrance was turned down by Juergen.
Eddie Rose was asked to decide how to tie-in the list of German holidays supplied by Floyd to Juergens list of events. Fasching was added to this group of events as a possibility. Also a proposed weinfest would need to have a date selected for this event. These will be discussed at the next meeting which was scheduled for 18 March at 2:30.
Both Phillip and Gary will send out reminders before the next meeting, that way at least one should remember.

Stein Club Officers Meeting

A meeting of the Stein Club officers was held on January 21, 2006 at the Bavarian Grill. Present were Juergen Mahneke, Bo Fedolak, Phillip Walden, Gary Coats, Elke Nutterfield, and Floyd Wood. Andrea was asked by Juergen to join the group while it was in session. The meeting lasted from around 2:30 to almost 4:00. Juergen provided for a choice of refreshment for each person present. Items on the agenda for this meeting included: Rotary club, Stein Club meetings, Oktoberfest, Christmas party, Distributors, German holidays/festivities, tips at club meetings, Stein Club events, communications, library, administration help, and officers meetings.
Rotary Club - The annual Rotary Club meeting at the Grill will be 30 Oct. this year. The Stein Club members will be encouraged to assist with this event if they are needed. The club can assist in one way by encouraging members to purchase raffle tickets. Juergen will inform the club if other assistance is needed.
Stein Club meetings and guests - It was noted that some members may bring a large group or bring guests persistently, i.e. freeloaders. This needs to be discouraged. An occasional guest is OK. A word to offending parties is required to fix the problem. Also associate members, i.e. those working on their first card. can be allowed to attend one club meeting, with approval of an officer, depending on their progress on filling the card. The next time, that member must have their stein to attend a club meeting. Stein Club dinners in odd months should have dates and menus published more to increase attendance.
Oktoberfest - This year it will be held on September 23rd at the Grill. Need to increase attendance. To do this, it could be advertised more during the year. Members are generally notified of this event, but the club should probably remind them again beforehand.
Christmas party - This event was well attended last year and will be held again this year.
Distributors - Distributors cannot give away beer, but beer reps can. Sometimes it is necessary to educate (train?) Distributors about what they can do in the way of enhancing club meetings with merchandise give-aways and advertising. It was noted that work can be done is this area as turn-over in these areas bring in new people who may not know what has been done in the past.
German holidays/festivals - It was suggested that a review be made of the typical festivities that are held annually in Germany with the intent of incorporating some of these into Stein Club events. Floyd Wood volunteered to undertake this review and report back on those that seem to be likely candidates.
Tips - It was noted that this is a problem because some people give big tips whereas some give no tip at a Stein Club meeting. It was suggested that a standard tip should be $5 per person. At future meetings, when the tip jar is passed around, the suggested amount will be announced.
Stein Club events - This is tied-in with the holidays/festivals noted above. Standard club events can be enhanced with the addition of those events tied to some celebrated in Germany. Also, event calendars will be generated for publication so that members and potential members can keep track of when future events will be held. Event calendars may be printed up as hand outs that can be picked up at the Grill.
Communications - Elke will investigate making table tents to announce Stein Club activities and events. It was decided that the newsletter should be produced once a month within the first week of the month. It should be in final form when sent to Juergen for publication and will include events for that month plus the next month. It was recommended that new members be recognized at meetings and in the newsletter; also those finishing a recent card. The Stein Club agenda should be published 1-2 weeks in advance of the meeting.
Library - The discussion had to do with how this might be used and what we would like to see new or different at the Grill. These can be discussed at the next officers meeting.
Administration worker - It was noted that e-mail addresses of members need frequent updating and may need to be collected from multiple sources. Help is needed for this. The question was, can someone be found to undertake this action?
Officers meetings - It was decided that club officers should meet once a month, the next meeting will be 18 February. At Juergens request, Andrea will be included in these meetings.
